OASIS: Generating a picture roster/face sheet for an event

OASIS can generate a "face sheet" that includes pictures of all of the students enrolled in a given event. If you are a Course Administrator or a Course Director, you can generate a picture roster for any event on your course calendar. If you are a Course Instructor, you can only generate a picture roster for events you've been assigned to teach.

To do this, click on the Calendar button on the toolbar at the top of the OASIS home screen. This will take you to the Week at a Glance view of this week's events. For more instructions on how to customize your view of the OASIS calendar, please see the article on Viewing your Calendar.

Once you've found an event for which you'd like to generate a picture roster, click on that event.



You can click on the title of the event or anywhere within the colored rectangle that represents that event -- either will bring up the Event Information panel. This panel will contain two boxes of names: one for the instructor(s) assigned to the event, and one for the students enrolled in the event. Right above the student list is a Create a Student Report link.



Clicking that link will open the Event Report menu. By default, the radio button next to Quick report is selected. If you press the View Report button, OASIS will generate a PDF that contains small thumbnails of the students' pictures, along with the students' name.

You can also click the radio button next to Custom report. This Custom Report will allow you to select what student information you'd like to appear on the face sheet, such as email address, mobile number, graduation year, preferred first name, and more. Depending on your level of access, some of these student information categories will not be available for you to select. Please also note that the Custom Report contains full-sized pictures and not thumbnails. So, if you'd like a report that features larger student photos than those included in the Quick Report.



Depending on your computer's settings, your browser will either open this PDF report within the browser or prompt you to save the PDF to your computer. If the report is displayed within the browser but you'd like to save it to your computer, you can click on File and go to Save As or Save Page As (depending on what browser you're using). This will allow you to store the PDF report on your computer to use later.
